Job Profile

Responsible to: Registered Manager/Head of care.

Responsible to the Manager/Head of Care, the post holder will undertake a variety of tasks providing a full range of administrative and clerical duties to support the smooth running of the home and its Manager.

Examples of the work to be carried out are as follows:

  1. Maintain accurate and up to date records of individual residents’ personal allowance held in safekeeping.
  2. Collect, record and forward all due monies to Isle Care including telephone, meals etc.
  3. Collect pensions on behalf of residents and record same according to agreed procedures.
  4. Ensure personal allowances are paid to residents or placed in safekeeping.
  5. Forward accommodation charges, on behalf of residents, to Isle Care.
  6. Deal with all invoices and orders for the home, ensuring that invoices are checked and forwarded for payment.
  7. Maintain record of invoices passed for payment to assist the Registered Manager with budget monitoring.
  8. Ensure that weekly and monthly returns are completed and forwarded as appropriate.
  9. Receive all incoming calls to the home and deal with callers politely and efficiently.
  10. Maintain an efficient, up to date filing system for the home.
  11. Maintain and monitor adequate supplies of stationery for the home.
  12. Ensure that all relevant documentation in respect of resident admissions is completed and forwarded to Isle Care in accordance with the agreed procedure.
  13. Provide efficient administrative and clerical support to the Registered Manager and Senior Staff, which includes minute taking when required, and typing of correspondence, documentation etc.
  14. Responsible for the home’s inventory, making any additions and/or deletions, in consultation with the Isle Care Administrator.
  15. Maintain up to date inventories for each resident’s personal possessions.
  16. Receive all visitors to the home in a friendly, efficient manner.

This is a key post in the home often where the caller/visitor will make first contact with Isle Care and the home. It is essential therefore for the post holder to be polite, helpful and welcoming at all times.
